Designing a clear digital waiver workflow for a gym
Make forms easy to find, complete and review without confusing a signature with a coaching assessment.
Keep document status and coaching decisions separate
A signed form records a response to a particular document. It does not by itself tell a coach what activity is appropriate for a person. Your workflow should show which version was completed, who needs to review relevant answers and what remains outstanding. Use qualified advice when deciding the content of legal or health forms; this guide concerns the software workflow, not the wording of a waiver.
A practical checklist
- Use clear document names and version identifiers.
- Preview forms on a phone before publishing them.
- Restrict sensitive answers to roles that need them.
- Give members a straightforward route to ask about a question.
Put it into practice
Test a new member, someone with an older form version and someone who has not completed the form. The staff screen should distinguish those cases without requiring a search through messages. Ask the provider how document changes affect existing signatures.
