From gym enquiry to a booked introduction
Make the next step clear for prospective members without forcing them through unnecessary forms.
The enquiry and the booking are separate commitments
Someone asking about the gym may not be ready to purchase a membership. Give them a useful next step and explain what happens after they take it. Staff need to know whether an introduction is requested, agreed or actually booked. Treat these as distinct states; a note saying someone is interested should not make them appear on a session roster. Keep the same language in the public site, staff record and confirmation message.
A practical checklist
- State what an introduction involves before asking for details.
- Ask only for information needed at that stage.
- Assign unanswered enquiries to a staff member.
- Check the journey from the public page on a phone.
Put it into practice
Review five recent enquiries without exporting personal details. Note where each stopped and whether the next action was obvious. Use that evidence to improve the workflow rather than adding more reminders to a confusing process.
