A gym data migration checklist before switching software
Prepare clean member and membership data before moving your gym to a different platform.
Separate necessary records from historical clutter
A migration needs a defined scope. Active memberships, future bookings and outstanding balances have immediate operational consequences. Old marketing tags and unused custom fields may not. Ask the receiving provider which data formats and relationships it can import before arranging an export. Never assume that a spreadsheet of names also transfers payment mandates, signed documents or attendance history. Those are separate objects with different constraints.
A practical checklist
- Inventory the records you need and identify their source systems.
- Remove duplicate test records and resolve inconsistent membership names.
- Agree secure transfer and access arrangements with the provider.
- Compare sample records and totals before approving the final switch.
Put it into practice
Reconcile a small test batch before moving everyone. Check a straightforward member, a paused membership and a member with a future booking. Get written confirmation of any data that will remain in the old system. Ask Wolfpack about your specific migration needs rather than assuming every previous platform has a direct importer.
