Setting up gym software as a small owner-led team
Prioritise the setup that makes your first live week work before configuring every optional feature.
Start with the operating basics
The opening setup should represent your locations, staff roles, memberships and timetable accurately. Optional features can wait until those foundations are reliable. An incomplete membership rule can affect every booking, whereas an unfinished image gallery is usually easier to correct later. Name one person who approves the setup and one who checks it from a member's perspective. They should not simply assume each other's view is correct.
A practical checklist
- Create staff accounts with the permissions they need.
- Review membership names and booking entitlements.
- Build the normal timetable and planned exceptions.
- Complete a rehearsal from enquiry through first attendance.
Put it into practice
Keep a short launch checklist with a clear definition of done for each item. A timetable is not done when it looks attractive; it is done when a test member can book the correct session and the coach sees the booking.
