A member record staff can use during a busy shift
Organise booking, membership and coaching information so staff can find the right detail quickly.
One record does not mean one unrestricted screen
A member record can bring together information while still limiting what different roles see. Put current operational facts near the top and keep historical detail accessible without overwhelming the view. Staff should be able to distinguish a membership status from a form status or a payment state. These can change independently. Avoid a single ambiguous badge that tries to summarise everything about a person.
A practical checklist
- Identify the most common questions staff answer from the record.
- Keep status labels specific to the thing they describe.
- Use role-appropriate views for private coaching information.
- Check that stale notes cannot be mistaken for current instructions.
Put it into practice
Ask front-desk staff to find the next booking and ask a coach to find the current programme. Use a fictional member with a few historical records. The best layout is the one that answers those questions accurately under ordinary time pressure.
