Planning a gym software launch week
Give staff and members a clear changeover plan when introducing new gym software.
Choose a cutover rule everyone can explain
Running two systems without a clear boundary invites duplicate bookings and conflicting membership records. Decide which system owns each task during the transition. You can pilot a new programme view before switching billing, but say so explicitly. Pick a date for the timetable change and keep the previous system available for agreed reference needs. Do not promise to retire it until the information and workflows you depend on have been checked.
A practical checklist
- Name the source of truth for bookings, payments and programmes.
- Brief staff before sending member invitations.
- Prepare a short help message for login and booking problems.
- Keep a dated list of issues and who will resolve them.
Put it into practice
Rehearse a busy session with test accounts. Include a late arrival, a cancellation and a covering coach. If the team cannot explain which system to use, the launch plan is not ready even if the data import is complete.
