A practical gym software demo checklist
Use real booking, coaching and payment scenarios to see whether a gym system fits your working week.
Bring awkward situations to the demo
A polished dashboard tells you little about the work behind it. Bring three situations from your own gym: a member who cancels late, a coach covering someone else's session and a payment that needs checking. Ask the demonstrator to complete each task from the role that would normally do it. A staff view and a member view can behave very differently. Record what happens without explaining your preferred solution first; otherwise you risk watching a prepared workaround rather than the normal process.
A practical checklist
- Bring your actual membership types and a sample timetable, without personal member data.
- Time the complete task, including finding the member and checking the result.
- Ask which steps require owner permissions, an extra subscription or support.
- Keep screenshots and written answers so competing systems can be compared fairly.
Put it into practice
Make a short scorecard with columns for task, number of steps, limitation and follow-up. If booking a recurring session works but managing exceptions does not, record the exception separately. Use the same checklist when speaking to Wolfpack so the conversation centres on your gym's requirements, not a generic feature tour.
