Checking data export before buying gym software
Understand what you can export and how usable it will be before committing to a gym platform.
An export button is not an exit plan
A useful export preserves relationships as well as rows. Names without stable identifiers can be difficult to match to bookings or payment records. Ask for a sample format and a list of included fields. Confirm how documents, programme templates and historical logs are handled. Access to an export is also a permission decision: not every staff role should be able to download the whole membership database.
A practical checklist
- Request sample files using fictional member information.
- Check identifiers, date formats and membership status values.
- Ask about export timing and access after cancellation.
- Store exported files securely and define when they will be deleted.
Put it into practice
Open the sample in a spreadsheet and try to follow one fictional member across the files. If you cannot connect the records without guessing, ask the provider to explain the relationships. Put the agreed export scope into your selection notes.
