Helping coaches adopt new gym software
Introduce a shared workflow without turning every coach into a software administrator.
Teach the daily job before the settings
A coach covering tonight's class needs to find the roster, understand the programme and record attendance. They do not need to learn the entire owner interface first. Group training around roles and real tasks, and make it clear which settings staff should leave to an administrator. Invite criticism of awkward workflows early; workarounds tend to become permanent if nobody records why they started.
A practical checklist
- Give each role a short task-based introduction.
- Use test members rather than real private records in training.
- Write down one agreed place for session notes.
- Revisit repeated problems after the first live week.
Put it into practice
Ask a coach who did not attend the setup meetings to complete a routine session workflow. Their questions show where the process still depends on undocumented knowledge. Improve the workflow before writing a longer manual.
