Putting a gym no-show policy into software
Translate your attendance policy into a booking workflow members and coaches can understand.
A policy needs an observable event
A late cancellation and a missed check-in are not always the same thing. A member may have attended while the coach forgot to mark the roster. Define how attendance is recorded and how mistakes are corrected before automating consequences. Members should be able to read the relevant policy before they book, and staff should know who can make an exception. Avoid a rule that only one owner can explain.
A practical checklist
- Define the cancellation deadline in the gym's local time.
- Distinguish absent, cancelled and not-yet-checked-in states.
- Provide a correction route for recording errors.
- Test how any entitlement changes appear to the member.
Put it into practice
Run the workflow against a completed test session, including a corrected attendance mark. Check that reports and remaining session credits agree afterward. A clear correction process is as important as the original rule.
