Why two gym reports can show different member totals
Understand report definitions before treating different dashboard totals as a software fault.
The same label can conceal different populations
Active members, paying members and people who attended this month are different groups. A paused account may belong in one report and not another. Date ranges and time zones can also move a transaction or visit across a boundary. Before reconciling totals, write down the exact inclusion rule for each report. If the software cannot explain the rule, ask for clarification rather than building another spreadsheet around an ambiguous number.
A practical checklist
- Check the date range and time zone.
- Define included membership statuses.
- Separate people, subscriptions and transactions.
- Inspect an anonymised sample of records at the boundary.
Put it into practice
If an attendance report shows fewer people than a membership report, first check whether some members simply did not attend. Agree consistent definitions for staff meetings so the discussion focuses on the business rather than changing interpretations of the numbers.
