A coach handover that survives staff changes
Keep programmes and essential session context accessible when a different coach takes the class.
Write for the person covering the session
A handover should let another coach understand the intended session and the practical adjustments they are responsible for. It is not a place for every conversation a member has ever had. Put the plan where staff already open the roster or programme, and keep sensitive details within the permitted coaching record. Agree the difference between information for the whole team and a private coaching note.
A practical checklist
- Record the session purpose and essential equipment needs.
- Use consistent exercise and programme names.
- Identify where authorised staff can review individual adjustments.
- Remove outdated instructions instead of stacking new notes above them.
Put it into practice
Ask a covering coach to prepare using only the system. If they still need several messages from the original coach, identify what was missing and improve the handover template. Test this during a quiet week, not on the morning someone calls in sick.
