Designing a gym booking and waitlist workflow
Define what happens when a class fills, someone cancels and the next member is offered a place.
Decide the rules before configuring the system
A waitlist is a sequence of promises. Members need to know whether joining means automatic admission, an invitation they must accept or simply notification that a space exists. Coaches need a final roster they can trust. Set the cancellation deadline and the promotion cut-off around how people actually travel to your gym. A place that opens five minutes before a session is different from one that opens the previous evening; treating both identically can create avoidable disputes.
A practical checklist
- Specify whether promotion is automatic and how the member is notified.
- Set a practical cut-off before the class starts.
- Explain how credits or passes are handled when a place changes.
- Test simultaneous cancellation and rebooking with test accounts.
Put it into practice
Walk through a full class, one cancellation and a promoted member. Check the roster, the member's booking screen and their remaining entitlement. In a Wolfpack demo, use this scenario to assess the complete experience instead of stopping when the timetable first looks correct.
