Which gym staff should see which member information?
Map staff permissions to real jobs so booking and coaching work without giving everyone access to every record.
Start from the job being performed
An owner, coach and front-desk colleague usually need different information. A coach may need the training history of assigned members; a receptionist may need attendance and booking details without health answers. Hiding a menu item is not enough: the underlying data service must enforce the restriction as well. When evaluating software, ask to see the same member record under two different staff roles, using fictional data rather than a real person's information.
A practical checklist
- List which tasks each role performs and which fields those tasks require.
- Test reads, edits and exports separately.
- Check how access is removed when someone leaves or changes roles.
- Confirm that member-facing accounts cannot become staff through profile edits.
Put it into practice
Create a permission matrix before onboarding the team. Put member health details in a separate row from contact details and attendance. Ask Wolfpack to demonstrate these boundaries for your intended roles; do not infer access rules from a screenshot of the owner dashboard.
